Farm Waste Solutions Limited (“we”, “us”, “our”) is committed to protecting your personal data. This policy explains what we collect when you use www.farmwastesolutions.co.uk or our services, why we collect it, how long we keep it and what your rights are. We handle personal data in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
Farm Waste Solutions Limited is a private limited company registered in England and Wales, company number 16023613. Our registered office is Suite 2 Healey House, Dene Road, Andover, Hampshire, SP10 2AA. Our trading address is The Old Apsley Landfill, Andover Down, Hampshire, SP11 6LW. We are the data controller for the personal data described in this policy. You can contact us about data protection by emailing info@farmwastesolutions.co.uk or calling 01264 554477.
When you contact us (by the website contact form, email or phone) we collect your name, email address, phone number, farm postcode and the details of your enquiry. We use this to reply to you and to provide a quote or arrange a collection. Our lawful basis is taking steps at your request before entering into a contract, or our legitimate interest in responding to enquiries.
When you book a plastic hub slot we collect your name, farm or business name, email address, phone number, postcode, the plastics you plan to bring, an estimated quantity and any notes. We use this to manage the booking, send you a confirmation and run the event. Our lawful basis is performance of a contract with you.
When we provide a service (plastic, tyre or waste oil collection, haulage, or supply of products) we collect the details needed to carry out the work, invoice you and keep the records that waste regulations require, such as waste transfer documentation. Our lawful bases are performance of a contract and compliance with our legal obligations.
When you visit the website our hosting provider’s server logs record technical information such as your IP address, browser type and the pages you visit, for security and to keep the site running. Our lawful basis is our legitimate interest in operating a secure website. See our Cookie Policy for details of cookies and similar technologies.
Analytics. With your consent, we use Google Analytics to measure how the website is used. This involves cookies and an anonymised record of your visit; see our Cookie Policy for details and how to change your choice. Our lawful basis is your consent, which you can withdraw at any time.
We do not use your data for automated decision-making or profiling, and we do not sell personal data.
We share personal data only where necessary: with our website hosting and email providers who store data on our behalf; with our accountants and professional advisers; with recycling partners or hauliers where needed to carry out a collection you have asked for; and with regulators or authorities where the law requires, for example waste records requested by the Environment Agency. All providers acting on our behalf are bound by contract to protect your data.
Your data is stored in the United Kingdom. If any provider we use processes data outside the UK, we make sure appropriate safeguards are in place as required by UK GDPR.
Enquiry details are kept for up to 12 months after our last contact with you, unless you become a customer. Booking records are kept for the current season and up to 2 years afterwards so we can plan future events. Customer, invoicing and waste documentation records are kept for as long as the law requires, which is typically 6 years for financial records and at least 2 years for waste transfer documentation. We delete or anonymise data once it is no longer needed.
Under UK GDPR you have the right to access the personal data we hold about you, to have inaccurate data corrected, to ask us to delete it, to restrict or object to its use, and to receive a copy in a portable format. To exercise any of these rights, email info@farmwastesolutions.co.uk. We will respond within one month. If you are unhappy with how we handle your data you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
We use appropriate technical and organisational measures to protect your data, including encrypted (HTTPS) connections to the website and access controls on the systems where data is stored.
We may update this policy from time to time. The date at the top shows when it was last changed. Significant changes will be highlighted on this page.
